Key Responsibilities:

  • Manage and supervise daily office operations of both our Abu Dhabi and Dubai studios, ensuring efficiency and compliance with company policies
  • Act as point of contact for staff queries and administrative needs
  • Coordinate with external vendors (water deliveries, pantry, stationary, cleaning, maintenance etc.)
  • Coordinate with IT support, oversee hardware/software requirements, and maintain asset inventories.
  • Manage HR-related duties such as attendance, leave records and personnel records.
  • Liaise with the P&E team and other office managers to implement initiatives and provide information
  • Ensure compliance with UAE labour laws, health and safety regulations
  • Coordinate travel arrangements for work related appointments and visits. Liaise with other BM studios to coordinate international visits including fights and hotel bookings.
  • Coordinate internal meetings, agendas, and staff celebrations as required. Arrange weekly staff ‘coffee mornings’ as part of office wellbeing strategy, and organize team events (annual Christmas party, iftar, etc.)
  • Liaise with finance on payroll and benefits tasks
  • Liaising with PRO’s (e.g., visa processing, trade license renewals)
  • Onboard new hires with an Induction and necessary equipment, accounts, and documentation
  • Manage lease agreements for Studios
  • Ensure compliance with health & safety standards and manage the annual audit
  • Assist with daily phone calls and general studio environment management

Qualifications:

  • Must have been in the UAE for at least 2 years
  • Strong understanding of UAE labour laws and office regulatory requirements
  • Fluent in English (written and spoken)
  • Proficient in Microsoft Office Suite and office management software

Preferred Attributes and Requirements:

  • Strong interpersonal and communication skills.
  • Problem-solving mindset with attention to detail.
  • Multitasking and organizational skills.
  • Based in our Abu Dhabi studio 3 days a week and visiting our Dubai studio 2 days a week. The inverse is also acceptable.
  • Driver’s license and car is a plus (mileage for work related trips paid separately)
