Bid Assistant

About the role
As Bid Assistant, you will assist in the delivery of compelling and compliant bid submissions across our diverse portfolio of projects, from masterplanning and architecture to interior design commissions. This role provides essential administrative and coordination support to our bid team, ensuring high-quality proposal submissions that showcase our design capabilities effectively.
Key Responsibilities
Bid Preparation & Coordination
- Assist in the preparation and assembly of tender documents, proposals, and presentations
- Coordinate input from multiple disciplines, including architecture, masterplanning, and interior design teams
- Maintain and update project databases, case study libraries, and staff CVs
- Ensure compliance with tender requirements and submission deadlines
Document Management & Quality Assurance
- Format and proofread bid documents to ensure professional presentation standards
- Manage version control and document distribution processes
- Coordinate with design teams to ensure accurate representation of project information
Administrative Support
- Track bid opportunities and maintain submission calendars
- Liaise with external consultants and subconsultants as required
- Support post-submission activities, including interview preparations and feedback analysis
Essential Requirements
- Strong written communication and proofreading skills
- Proficiency in Microsoft Office Suite and Adobe Creative Suite, specifically InDesign
- Excellent organisational skills with attention to detail
- Ability to work under pressure and meet tight deadlines
Desirable
- Understanding of architectural and masterplanning processes
